This project is part of the Joined up System for Institutions project cluster in this particular programme. Projects in this cluster intend to integrate a variety of different types of information systems to support learning and teaching (for example joining up the student record systems with the institution's VLE).

Background/Context

Established in 1893, Writtle College has a strong tradition of delivering FE and HE programmes. Since 1990 student numbers have doubled to just under 2,000 FTEs, in conjunction with an expansion and diversification of the academic subject areas. Like many other institutions Writtle College recognises that the provision of an accurate flow of MIS information is necessary and that amalgamating systems that have previously been separate will be a fundamental feature of this transition.

Aims

The overall aim of the project is to establish practical methodologies for the dissemination of MIS information throughout the College, expanding and reinforcing its Information Strategy by providing the ability to create intrinsic streams of information flow.

Objectives

The specific objectives are to:

• Create Electronic Data Interchanges (EDI) links between the main College MIS systems through the production of a "middleware" and Web-based front end user interface
• Ensure ease of access and independence of the underlying system components and data, ensuring that any changes, developments or upgrades are effected with minimum disruption to GIMIS
• Provide methodologies for enabling full and accurate analysis of all main College activities
• Ensure the ease and timely provision of accurate and relevant performance indicators
• Ensure dissemination of all project developments and outcomes

Project Design

The proposed integration will revolve around a three tier architecture: a bottom tier comprising of existing MIS systems, a middle tier or middleware and a Web-based front end. The design of such a tiered approach allows for several distinct advantages to any institution:

• Functionality of existing systems is unaffected
• GIMIS and current systems can run in parallel
• The middleware allows changes in the underlying MIS systems while permitting the development of a generic MIS system and platform

The project will provide the required data, as determined through a College-wide information needs analysis, in a common application or format with the ultimate goal being the creation of a "data warehouse".

Implications/ Deliverables/ Stakeholders

GIMIS will lead to improved quality of data, greater access to key College information and a reduction in its duplication and improved communication between academic staff, administrative staff and students. GIMIS will ensure (for example) that budget information is made available to budget holders and that Student Record data is available to those who are recognised as benefiting from its dissemination. The gradual merger of College MIS systems will enable the improved organisation of teaching facilities, ensure detailed course costings and the timely provision of relevant performance indicators.
